How farm Accounts and Organisations fit together

AgCore separates the Account that pays for the subscription from the businesses that employ people. The Account is the umbrella for one or more Organisations and the people who help run them.

Each Organisation is one employing business. It keeps its own legal details, employees, agreements, work records and pay setup. A grower operating a trust and a separate partnership can keep both under one Account without mixing their employer records.

The property side describes the land the active Organisation operates: its boundary, measured land facts, Production Blocks, water and infrastructure. These records stay with that Organisation when you switch to another business.

The Organisation answers which employing business? Property records answer which land and farm assets? A boundary or block is not a second business, and it does not need a second subscription.

An Organisation can exist before its property is mapped. Until a boundary is saved, AgCore opens Property Setup while keeping the Organisation as the employer record.

A Department is a work area such as Field, Packing Shed, Machinery or Admin. It belongs to one Organisation and groups its people, work records and reports.

Departments do not set pay. A worker's pay comes from their accepted wage agreement, while the Department records where the work happened. This keeps the work area separate from the worker's wage rule.

Department membership and the Department on a Time Entry are different. A worker can have a time record for any Department in that Organisation without gaining a new membership; the membership records where the worker usually belongs, while the entry records where they worked that day.

AgCore can give a person access across the whole Account or only to a particular Organisation. That lets a business partner work across the group while a farm manager or payroll user stays inside the business they look after.

A job title and an app role are different things. “Farm Manager” describes the person's employment; it does not grant access by itself. Access is a deliberate Account or Organisation role, shown separately on the Users screen. The gated roles and permissions guide lists what each role can do.

• Use the Account for the customer relationship, subscription and people who work across the group.
• Use a separate Organisation for each contained employing business and its legal workforce records.
• Keep the land, Production Blocks, water and infrastructure in that Organisation's property records.
• Use Departments for work areas inside the business, not as another employer or a pay rule.
